Speaking in Public Forum
If you wish to speak in public forum at a Council/Committee meeting, please register your attendance via email to the Governance Services Team at Governanceservices@westernbay.govt.nz or by phone on 07 571 8008. Please register at least two working days prior to the meeting date. You will receive an email confirming your attendance and will be provided details around meeting protocols and zoom details. (See Standing Orders below, Section 15 for details). Speakers are allocated 5 minutes to present and this includes questions from Councillors.
Public Forum - Under Traffic Light System
As of 11.59pm Thursday, 2 December 2021, we will move to 'Orange' under the new traffic light system. Council/Committee meetings will continue to be held both in chambers and virtually via zoom under the same conditions as Alert Level 2. The process for registering is the same as above however, you will receive an email confirming your attendance, either in person or via zoom. Information around Council's meeting protocols will also be included.
Please note; due to the size of our chamber, we can only fit a limited number of public in at the 1 metre distancing requirement, so it's important that you register. Also depending on the number of speakers registered, you may not be able to have any supporters with you.
If you are attending in person, please be advised, that under 'Orange' traffic light conditions you must;
- Arrive at our Barkes Corner Officer at least 15 minutes before the meeting starts. Please register and scan yourself at the Customer Service front counter. You will be escorted to the chamber by a staff member.
- Sanitize your hands before entering the chamber.
- Wear a mask at all times until you are seated in chambers. Once seated, you can remove your mask.
- Sit in the designated seating area for public forum speakers or general attendees. These seats will be set at 1 metre apart. Please stay seated until you are called to the presentation table by the Chair to speak. Speakers are allocated 5 minutes to present which includes questions from Councillors.
- Toilets are in the foyer outside the main door to the chamber.
- If you wish to leave the chamber following your presentation or during the meeting, please put your mask back on and return to the Customer Service area to exit.

Local Governance Statement
Our Local Governance Statement (PDF, 1.65MB) (required under the Local Government Act 2002) is the overarching document explaining the organisation and structure, key Acts and legislative requirements under which Council operates.
These are the rules for the conduct of proceedings for meetings. Their purpose is to enable Council to exercise decision making responsibilities in a transparent, inclusive and lawful manner. They fulfil the requirements of the Local Governance Act 2002 and the Local Government Official Information and Meetings Act 1987 with regard to the conduct of meetings, and are adopted at the beginning of every triennium. Council meetings are held at our Barkes Corner Office at 1484 Cameron Road, Greerton, Tauranga, with meetings usually starting at 9.30am. Please check out our webpage for Meeting Dates for Council, Committees and Ward Forums for confirmed meeting details.
Please note; dates and times of scheduled meetings are subject to change and will be notified on the above webpage and also in the Public Notice section of the Bay of Plenty Times newspaper. Other (non-scheduled) meetings of Council, Council committees, Community Boards and Ward Forums that may be required from time to time during the year will be notified in the same way, if time permits.
